160over90 is seeking a Registration Technology Specialist to join the Experiential & Hospitality Team. The Registration Technology Specialist will play an integral support role in planning and executing hospitality experiences, meetings & events.

Technology Specialist

Responsible for coordination and build of website registration, participant correspondence, hotel room block and activity management, event app build, OnArrival check-in, within an event scope.

Customer Service

Responsible for providing customer service and program support for assigned event, meeting or travel programs. This position requires individuals who can work both independently and as part of a management team in making decisions important to the success of the client’s events. Interfaces directly with event, meeting or incentive travel attendees, Clients, Account Teams, and support departments. No direct reports.

Registration Specialist

  • Work with Client Services teams to complete the registration Event Setup Checklist.
  • Create a registration timeline.
  • Responsible for managing the setup of the event's dedicated toll-free number and email boxes.
  • Confirm script is recorded, test phone number and email box for confirmation set up are complete.
  • Responsible for monitoring call volume, providing customer service, and answering calls/returning voicemails for assigned program phone queues.
  • Build, review and test the website before submitting it to all program stakeholders.
  • Build, review and test mobile app for the events
  • Work in Cvent or other 3rd party registration tools.
  • Provide Report Links to Client and Internal Client Services teams.
  • Attend weekly or bi-weekly team meetings or client conference calls.
  • Consistently provide outstanding participant support on phone calls, email responses, external messaging, and email blast creations.
  • Manage all internal and external reporting requirements.
  • Maintenance and management of rooming lists, hotel blocks, activities, sessions, etc.
  • Liaison between internal departments and external partners for attendee changes using appropriate change request procedures.
  • Responsible to Program Managers for program registration tasks.
  • Coordinate Event Email communications when requested by Account Team.
  • Compile accurate reporting and labels for onsite use.
  • Travel onsite to lead registration desk as needed by the client.
  • Assist with the reconciliation of hotel rooms for the final bill.
  • Provide post-program data/final reports and billing reports for Client Services and Accounting for registration-only programs.


Experience

Minimum of 5 years of registration experience in meetings, travel, trade show, and/or hospitality industries needed.

Qualifications and Skills

  • Knowledge of Hospitality and Meetings & Incentive Industry
  • Strong Computer Skills: Cvent, Excel, Word, web-based registration systems
  • Strong written and verbal communication skills
  • Self-starter – motivated - resourceful
  • Exceptional time management skills
  • Ability to deliver high level of customer service / Provides the customer his/her undivided attention
  • Asks questions targeted to encourage complete responses
  • Creates rapport with the customer and matches the customer's tone and pace
  • Offers suggestions to the customer and anticipates needs
  • Ability to maintain high level of accuracy and attention to detail
  • Positive, Proactive, and enthusiastic attitude
  • Ability to work under pressure and effectively multi-task while maintaining professional rapport with internal and external clients
  • Willingness to work as a team and pitch in as needed
  • Willingness to work extended hours as necessary in the office and on site
  • Ability and desire to Travel required
