To be successful in this position the Event Manager must demonstrate strong communication and problem solving skills. They must be detail-oriented, deliver flawless customer service and manage multiple priorities. They must have a strong sense of responsibility, self-motivation, and flexibility. The Event Manager must function effectively under pressure and make difficult decisions independently and in a timely manner, while supporting organizational decisions. Additionally, the Event Manager must be available for travel to in- and out-of town engagements which may include overnight stays, and to be on call24/7 and work an extended schedule including weekends and evenings according to demands of his/her workload.

Key Responsibilities

• Coordinate all logistics for unassigned and assigned speakers
• Research and compile background information on the host organization and/or event on behalf of the speaker
• Coordinate the speaker’s travel, transportation and hotel accommodations with all types of vendors and hospitality organizations
• Create and organize customized briefing materials and itineraries for speaker engagements based on contract data, research, and information communicated by the host organization and speaker
• Anticipate travel issues, develop contingency plans, and overcome last minute obstacles to ensure the satisfaction of speakers and clients especially in the area of timelines and accommodations
• Represent speaker and the Washington Speakers Bureau for local and occasional out of town engagement as business needs arise
• Review press releases, marketing materials and publications relating to speaker for client’s event as needed
• Communicate the requirements and limitations of the speaker to the host organization including AV requirements
• Serve as liaison and coordinator for special requests by speakers or host organization, including book signings, autograph sessions, conference calls, etc.
• Make contributions and work closely with the clients beforehand, onsite, and post-event to aid the sales process and promote future bookings
• Collaborate with all departments
• Serve as an active participant in departmental committees
• Serve as backup to fellow Event Managers
• All other duties as assigned


Essential Skills and Experience
• BS/BA degree from an accredited university
• 3-5 years professional work experience
• Proficiency in Microsoft products (Word, Excel, and Outlook) and databases (CRM and Events)
• Experience using the Internet for research purposes
• Exceptional written, oral, and interpersonal communication skills
• Experience that demonstrates the ability to multitask and constantly reset priorities
• Ability to deliver verbal and written communications in a professional manner
• Industry experiencepreferred
