Position OverviewThe Illinois Department of Corrections is seeking a Human Resources Representative to work at the Logan Correctional Center. This position serves as a personnel generalist processing personnel transactions, maintaining personnel files, and receives & responds to mail/email for the personnel office. The ideal candidate will be well organized, pay high attention to detail and maintain confidentiality. We invite all qualified individuals to apply.
Essential Functions - Serves as a personnel generalist in preparing, keyboarding, and processing all personnel transactions and submits to the central office personnel for approvals/disapprovals, e.g., appointments, disciplinary actions, employee data changes, job changes, leave of absences including FMLA, Military, Maternity/Paternity, reversals, salary actions, and separations.
- Maintains Personnel files for employees.
- Receives and responds to mail and email for the Personnel office.
- Maintains and updates Personnel Policy Manual, job specifications and transaction manual.
- Serves as designated lead worker.
- Prepares and submits appropriate documentation for new hires and other applicable transactions for insurance purposes and assists employees with basic information.
- Follows procedures to ensure discipline is imposed within required time frames and schedules disciplinary suspensions on the maximum allowable workdays.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications - Requires knowledge skill and mental development equivalent to completion of four (4) years of college and one (1) year of professional experience preferably in human resources or satisfactory completion of an approved training program.
Preferred Qualifications - Prefers at least two (2) years of professional human resources experience.
- Prefers at least two (2) years of professional experience working with the Personnel Code, Rules, Position Classification Plan, Pay Plan, Collective Bargaining Contracts, department policies and/or similar type of rules and regulations in a public or private organization.
- Prefers at least two (2) years of experience in effectively reading and understanding complex information, including data, and being able to readily recall key facts and figures related to that information with a good level of accuracy.
- Prefers at least two (2) years of experience communicating in oral and written form with internal, external candidates, employees, administration, and outside agencies.
- Prefers at least two (2) years of experience utilizing personnel-related computer systems, such as Success Factors or other similar type of computerized hiring systems.
- Prefers at least two (2) years of experience conducting new employee orientations and/or trainings.
- Prefers at least two (2) or more years of experience using Microsoft Office Suite or similar type of computer software.
- Prefers at least two (2) years of professional experience meeting deadlines with strong attention to detail.
Conditions of Employment - Requires ability to pass the IDOC/IDJJ background check.
- Requires the ability to pass a drug screen. The use of unauthorized drugs, regardless of the position held, is prohibited.
- Requires ability to attend seminars, conferences, and trainings to stay current on methods, tools, ideologies, or other industry related topics relevant to the job duties.
- Requires use of agency-supplied equipment (i.e., mobile phone, laptop, etc.).
