Our client in the Delaware County, PA area is looking for a Division Operations Manager to join their growing team. This position will encompass full operational responsibility for a large contract. This is not a Project Manager position. Position requires prior operations experience within the commercial construction industry. Direct hire salaried position with great benefits and bonus potential. 

 

Duties / Responsibilities:

 Works with Director of Operations to manage, administer and facilitate various duties on project sites including New Jersey, other depots and headquarters. These include but are not limited to:

 Coordinates with Dir of Operations to develop, post and regularly update a masterschedule for deliveries, installs, hopscotches, and removals that is project specific and resource (personnel and equipment) loaded for active and pending projects

 Works with field Project Managers and CSRs and ensures all deliveries, installations, removals, and relocation of products are documented daily, tracked and billed out correctly

 Works with field Project Managers and CSRs and ensures all E&S work completed by company or subcontractors, is documented daily, tracked and billed out correctly

 Inventory management control and associated processes and documentation to ensure accurate counts and grades of product by location are available and current. 

 Works with Transportation Manager to ensure that all matting vehicles have the proper registration, insurance, fuel cards, and EZ Pass needed. Regularly obtains mileage for all leased vehicles from field for reporting purposes.

 Conducts daily reviews of the Insphire ?Open Product Contract?report and the QuickBase ?Field Daily Report? and follows up with DMO, field Project Managers, CSRs, and NAMs as needed on items that impact inventory or billing.

 Works with DMO, Safety/QAQC Manager, and field Project Managers to coordinate and conduct QA/QC and safety audits and reviews, make updates to plans and policies, and provide required QA/QC and safety reports to customers.

 Conducts operational and revenue analyses and monitors operational KPIs on a monthly, quarterly and annual basis and makes recommendations to DMO and GM based on findings and KPI results

 Works with NAMs to facilitate and supports job walks, project development, product plan reviews, and proposal preparation.

 Oversees paperwork and documentation for matting transportation, moves, includes: signing off on correct counts of material, coordinating with outside haulers for directions and time of loading/unloading of trucks

 Routing documents, forms and necessary paperwork from the project site to the home office

 Working closely with PM for logistic and permitting needs. Staying ahead of the work crews in order to efficiently continue work on sites

 Tracking, filing, and monitoring of required submittals from the contractor and their subcontractors including insurance certificates, schedules, safety documents, technical submittals, invoices, and correspondence

 Tracking, filing, and logging of incoming and outgoing Requests for Information (RFI) and documenting responses as assigned

 Maintaining a field order log and processing field order write-ups and associated paperwork to authorize contractor initiated work scope changes to Mabey

 Tracking invoices and recommending approval of POs or payments to vendors by working with DMO, CSRs and Billing.

 Coordinate/ facilitate contract close-out requirements

 Serves as a backup option to CSRs for entering quotes into the system in an accurate and timely manner if CSRs are otherwise unavailable. Prepares Product Requirement list off of all quotes produced and e-mailing them

 Processing Goods Outward and Goods Inward notes along with any otherdata entry documents into the system

 Off Rental procedures in computer (collection notes)

 Advises Sales of outstanding equipment on site or damages accrued on the contract and any other charges that may be applied (trucking detention times)

 Ensuring strong internal and external customer relations relating to service and delivery

Communicates and coordinates with personnel, or depot manager on orders going in and out

 Works with CSRs on transport issues: job confirmations to transport companies, instructions to drivers, processing invoices, schedules truckers for loads or collections on site, manage fleet rental readiness (cleanliness, repair) of mats by grade for events and other product quality sensitive jobs

 Promotes a team environment with co-workers and other departments

 Promotes internal and external customer service excellence

 Adheres to and upholds company safety standards

 Other duties as assigned

 

Requirements:

 Ability to travel within various territories, P.A and N.J to depots or job sites when needed

 Detail oriented with excellent communication skills

 Proficiency with Microsoft Office applications, Adobe Acrobat, and electronic file organization

 Must have and maintain good driving record that would pass approval by our insurer

 

Education and Work Experience:

 Five (5) years in Construction Industry or General Contracting

MS Office, MS Project

Supervisory experience

Business Savvy - ability to generate reports 

Logistical understanding 

Experience managing a staff 

Project ManagementExperience 

Proficiency in Office 

Detailed oriented and Excellent Communication Skills
