Manage the centralized scheduling function for all company/charter aircraft and ground transportation services. Additionally, supervises a staff of schedulers/dispatchers and chauffeurs. Direct staff in the development and implementation of routines and procedures for scheduling company assets in accordance with International Standards for Business Aircraft Operations. Responsible for record-keeping and reporting of business and non-business use of aircraft. In-depth knowledge of computerized scheduling systems required. Manages departmental structure, employee development, training and planning. Participates as member of Aviation Leadership team


  • Oversees the team responsible for all facets of trip planning, and will occasionally participate in trip planning as well. Trip planning can involve the following with possible additional duties:
  • Provides continual flight following and accurate passenger and crew manifests;
  • In regards to trip-planning, acts as a liaison between the Flight Department and the Company executives who request use of Company aircraft;
  • Works with the Chief Pilot, Director of Maintenance, and the assigned PIC to produce a trip itinerary that complies with the FOM and best meets the needs of the requester of that flight;
  • Selects the most suitable aircraft;
  • Selects suitable airports, heliports or landing sites;
  • Determines ARO requirements;
  • Determines appropriate departure times;
  • Assists crew members in choosing FBOs, hotels and transportation;
  • Ascertains passenger hotel and transportation arrangements;
  • Arranges for charter aircraft or possible charter backup;
  • Works with flight crews to coordinate with the international flight planning vendor for handling, slots, customs, immigration, agriculture, overflight permits and landing permits for international destinations;
  • Notifies and distributes complete and accurate trip sheets in a timely manner, which serves as an authorization document, allowing flight crewmembers to fly a trip;
  • Notifies all assigned aircraft crew members, the Chief Pilot, and Director of Maintenance of any schedule or itinerary changes;
  • Schedules travel for Company passengers on all modes of transportation, including the Company aircraft;
  • Schedules ground transportation for passengers, as appropriate;
  • Schedules Company aircraft for passenger flights, training and maintenance;
  • Logs flight times and keeps department flight records in PFM;
  • Keeps passenger manifests and logs for all flights, retaining items per MassMutual document protocol;
  • Ensures passengers and aircraft crew members obtain any necessary permits or visas when flying into and out of foreign countries;
  • Remains knowledgeable of pertinent areas of IS-BAO;
  • Remains knowledgeable of pertinent areas of the FOM;
  • Responsible for reporting metrics and producing quarterly reports related to executive usage
  • Schedules the team to provide 24/7 coverage in Dispatch
  • Manages vendor relations, including livery service, scheduling software and supplemental lift vendors
  • Assumes any duties delegated by the Head of Aviation.
  • Participates in the Safety Management System.


  • Has five or more years experience in Flight Department planning and working with domestic and international flights
  • Has three or more years experience in a leadership role


  • Holds an FAA Aircraft Dispatch License (highly desirable);
  • Holds a CAM (Certified Aviation Manager) designation (highly desirable);
  • Has experience in aircraft scheduling and handling crew needs (knowledge of PFM highly desirable);
