The Director of Operations is focused on ensuring the operational excellence & scalability of the agency. We are looking for an operational leader who can start and finish initiatives, has a deep understanding of the dynamics of a growing service-based agency and wants to be a part of a growth-oriented environment – a company that equally cares about its people, its customers and its ability to grow without sacrificing its culture.

Success in this role requires operational expertise across software/web development, marketing, design and strategy teams. Due to the variety of roles, the position requires strong management and communication skills with a drive towards reliable and scalable operations of each of these teams in support of the overall agency strategic vision.

The right candidate will have the following responsibilities as part of their role within the organization:

Process

  • Designs, implements, enforces and measures organization systems and processes for production and financial functions
  • Maximizes efficiency and create paths for scalability
  • Digging into the work and following through are critical

Resources

  • Develops means for planning and forecasting available resources based on current team, work, and pipeline opportunities
  • Works with the management team to build a pool of outsourced resources as needed throughout the year to supplement any needs in between hiring stages
  • Arranges meetings with Managers to maximize the utilization of department and/or freelance resources and understand current Burn Rates
  • Works with each Department Manager to staff projects with appropriate resources promptly and accurately
  • Understands general capabilities (skill sets) and interests of resources and factor into staffing decisions
  • Ensures time tracking policies & system is up to date and accurate
  • Prepares reports showing utilization trends and forecasts for review by Management

Production

  • Collaborates with the Project Management Organization team to ensure that project metrics are being tracked, monitored and reported
  • Monitors utilization projections and will work in partnership with the sales team to identify and drive sales opportunities that will consume available capacity
  • Ensures the quality of the work through regular team catch-ups and reviews

Financial

  • Collaborates with the Controller to develop means for planning and forecasting for resourcing, hiring and staff training
  • Monitors overall project P&Ls to identify better resources, processes, protocols, and tools in partnership with the management team
  • Responsible for providing reporting on overall agency operations in an ongoing basis to the executive team in support of the strategic business plan

Management

  • Works as part of an agency management team to manage the members of your group focusing on job satisfaction, performance, and professional growth
  • Provides new insights into situations; questions conventional approaches; encourages new ideas; designs and implements new operational programs/process.
  • Designs and steers an operations meeting that people want to show up to because it’s inclusive, balance challenges/solutions, is collaborative and supports the growth of the agency and its people
  • Oversees the Traffic and Schedules to meet client deadlines and keep the team on target
  • Inspire, train and guide direct and indirect reports

The right candidate will have the following experience and skill set:

  • 4+ years of experience in a similar role (Operations Director, Operations Manager, Production Manager) and ideally within a digital agency
  • A strong focus on results, continuous improvement, and innovation
  • Fiscal management and responsibility
  • Excellent communication, presentation and negotiation skills
  • Experience managing operational functions, and overseeing transformation projects
  • Experience operationalizing processes, plans and people across Design, Marketing, and Technology
  • Experience working within an agile project delivery methodology
  • Ability to be a role model within a large organization, and to set the example for which all other staff will follow
  • Ability to work totally independently – both on longer-term strategic initiatives and on the day-to-day operations
  • An empathetic approach to juggling resourcing needs, client needs and business needs
  • A clear, decisive thinker who can affect change, drive performance and troubleshoot independently and with authority
