Primary Purpose:
The Director of Events & Scholar Experience position is responsible for overall strategy, development, and successful direction of internal/external events and oversight of the implementation and execution of network-level scholar experiences across Uplift Education schools. This individual will provide support in the planning, coordination, and evaluation of all assigned events. This position requires an experienced, self-assured professional with the ability to manage administration and logistics with the support of direct reports in a busy event- focused environment. The successful incumbent must also be a visionary for scholar experiences and lead a team that focuses on providing memorable and exceptional scholar experiences for scholars. This leader must be exemplary in anticipating project needs, discern work priorities, meeting deadlines with little supervision, and be willing to work evenings and weekends as necessary.

Duties/Responsibilities:
  • Manage the negotiation of contracts and coordination all event logistics, including but not limited to: registration and attendee tracking, scholar transportation, securing venues and event space, food and beverage arrangements, ordering supplies, print and collateral materials and overall support for both the Special Events and Scholar Experience teams.
  • Supervise data management and reporting systems to coordinate and track all event attendance details; maintains and analyzes event reports and statistics.
  • Work closely with all approved vendors for all event needs, negotiate and review bids from all event-related subcontractors and serve as the point of contact.
  • Responsible for all marketing and communication related to network-wide and scholar experience events to ensure all are executed with a high level of professionalism and consistent with branding and desired overall experience.
  • Develop, manage, and monitor the Special Events and Scholar Experience budgets and procurement processes, and provide budgetary analysis reports to the Senior Director of Family and Scholar Experience.
  • Maintain the master calendar of all Uplift events and scholar experiences; identify and solicit participation of guest speakers and feature panelists who are consistent with Uplift's mission statement.
  • Coordinate the design and distribution of invitations, program materials, presentations, registration lists, seating cards and all other print needs for all events.
  • Manage and maintain inventory of event supplies and equipment such as backdrops, projectors, computers, and other all other event inventory.
  • Work closely with respective E-Team members, campus leaders, and staff on the requirements and outcomes of each Special Event and Scholar Experience including project planning, updates, surveys, etc.
  • Conduct pre- and post- evaluation reports on outcomes, and implement changes based on these findings.
  • Performs other duties as assigned.

Education, Experience, and/or Certification(s)
  • Education Requirements: Bachelor's degree (B.A./B.S.) from a four-year college of university required.
  • Experience Requirements: Applicant should possess 5+ years of event planning experience, 3 years of large-scale budget management required, and 3 years of supervisory experience preferred.

    • Vast range of experience in planning and executing small- and large-scale events (50-to- 8,000-person event).

    • Proficient budgetary skills and knowledge of the procurement process and vendor management.
  • Communication Skills:
    • Excellent communication skills, including writing, proof reading skills, and speaking.
    • Excellent interpersonal skills both in person, by phone, and electronically, displaying elevated professionalism.
    • Exceptional customer service, with high expectations for quality and a focus on the timeliness of project and event deadlines.
  • Technology
    • Technical knowledge navigating event and project management platforms.
    • Proficient using the latest versions of Microsoft Word, Excel, PowerPoint, Access, and mail merges; email and web searches.

The noise level is low to high and may have frequent interruptions. There may be activity from other employees and students of a distracting nature. Some events may fall during a time of inclement weather, or employee may be asked to perform duties during seasonally cold or hot temperatures. Most duties are performed indoors, under typical office or venue working environments.

Work Environment:
Hybrid work environment. Reliable transportation and ability to travel throughout Dallas/Ft Worth and surrounding areas (reimbursement for mileage included). Events may be hosted outdoors or indoors in varying weather conditions.
