This position is key in supporting the Chief Operating Officer and President. General responsibilities will include; knowledge and interaction with Accounts Payable, Accounts Receivable, General Ledger, Cash Management, Bank Reconciliations, Accrual Accounting, Audits, Taxes, Payroll, Budgeting, Job Costing, Mortgage Processing, IT, Financial Statement Preparation and Financial Analysis for all of the company business entities. The key function of this position is to provide adequate controls and supervision in these respective areas to ensure integrity and accuracy.
? Manage and support the following areas to ensure that processing is in compliance with PROPERTY MANAGEMENT COMPANY Policies & Procedures.
o Accounts Payable: Ensure that all payables are processed timely and with appropriate lien waivers. Ensure that 1099?s are prepared accurately and filed timely in accordance with the regulatory agencies.
o Utility Management: Ensure that all utilities are paid timely and without penalty. Utility bills should be paid at least ?2 weeks out? to ensure timeliness of payment application. Ensure that all ?vacant? utilities are reviewed for accuracy and rebilling. Any rebills are to be processed within a week of payment of the utility bill. Establish and manage process to reconcile water bills to 3rd party agencies and resolve discrepancies. This is to be done monthly. Provide quarterly reports on water usage and expense recovery.
o Journal Entries: All journal entries required for posting are to be reviewed by the Controller and/or COO foapprove his/her own journal entries.
o Real Estate Tax Processing: Manage star approval prior to posting. The COO nor the Controller can ff accountants and ensure that all real estate taxes are paid timely and without penalty.
o Mortgage Processing:Work with both the Cash Manager and the COO, ensure that all mortgages are paid timely and without penalty.
o Accrual Accounting: Review all accrual entries for necessity for all major expense items (payroll, utilities, taxes, insurance, lawn care, etc.) and recurring monthly items (phone, internet, advertising, etc.)
o Financial Statement Review: Review all Statements and approve by the 5th business day of the succeeding month (exceptions allowed at year-end). Upon completion by the staff accountant & cash manager, the Controller will review the monthly financial statements and then sign off on the respective certification sheet. The financial statements will be reviewed by the Controller monthly except for the months of March, June, September and December, which will be reviewed by the COO.
o Job Costing:Work with the Cash Manager to ensure that all job cost invoices are processed timely and with appropriate lien waivers. Provide monthly update to COO and President of active jobs.
o Fixed Assets:Work with Cash Manager to ensure fixed assets are updated monthly and reconciled annually.
o Partner Reporting:Work with Staff Accountants to submit quarterly and annual financial/taxreporting to the respective partners in accordance to the partnership or operating agreements.
o Lender Reporting:Work with Staff Accountants to submit quarterly and annual statements to respective financial entities in accordance with the loan agreements.
o Homeowner Association Accounting: Work with staff to ensure that all transactions are recorded monthly for the HOA?s and financial statements are reviewed and approved.
o Replacement Reserve Processing:Work with the Staff Accountants and Cash Manager to ensure that replacement reserve requests are processed no less frequently than semi-annually.
o Cash and Bank Reconciliations: Complete all reconciliations for the current month by the 25th of the succeeding month. The Controller will review ALL bank reconciliations monthly except the months of March, June, September and December, which will be reviewed by the COO. Reconcile and close all sub-ledgers monthly: Accounts Payable, Property Management (Rent Roll), Fixed Assets, Security Deposits and Mortgages.
o Cash Management: Liaison between Property Management Company and all banks. Work with Cash Manager to process book, wire, and ACH transactions. Ensure all cash transactions are recorded daily.
o Refinancing:Work with CEO & COO on refinance transactions by providing financial data and ensuring accurate recording on refinance transactions.
? Act as liaison between Property Management Company and Yardi accounting/property management software.
? Interview, hire, and train new associates as needed.
? Appraise performance, reward employees, and discipline employees as needed.
? Additional tasks and projects as necessary.
Qualifications and Skills Required:
? Bachelor?s Degree in Accounting from an accredited university required
? 5+ years of experience in the Accounting field with a proven progression of responsibility required
? Prior supervisory experiencerequired
? Property Management experiencepreferred
? Knowledge of Yardi and Quick Books software preferred
? Intermediate knowledge of Microsoft Office is required, advanced knowledge is preferred
? Attendance, work ethic and strong interpersonal skills are required for success in this position
? Must have the ability to clearly articulate thoughts and ideas and have strong written communication skills
? Must have a clear understanding of business and financial terminology
? Ability to apply reasonable logic to common problems and determine appropriate course of action, as well as predict a possible outcome based upon a course of action
? Ability to work overtime as needed
