Responsibilities:

  • Interact daily with clients, process client requests and answer basic client inquiries in a timely manner. Address inquiries to appropriate areas
  • Prepare client engagement agreements and investment applications including new account applications, process transfers of client accounts, provide daily tracking of project status and keep client informed of the progress of their accounts
  • Populate and maintain accurate client data in client relationship management (CRM) database, client fee billing and reporting systems
  • Manage all details of clients, prospects and vendors in CRM
  • Responsible for day-to-day firm operations, including managed account, mutual fund, alternative investment and brokerage operations, platform operations [ billing, new account opening, reconciliation, and performance reporting ] and relationship management
  • Review daily transaction reports to ensure accuracy of previous day activities
  • Verify cash balances for systematic withdrawal programs
  • Serve as primary operations contact for MBFG intermediary clients, primary liaison for all operational issues and primary broker-dealer liaison with compliance
  • Participate in evaluation, selection and implementation of technology solutions to enhance effective operations
  • Monitor, measure and report on operational issues, opportunities and development plans and achievements
  • Support all sponsor and money manager trading operations, including resolution of trading errors
  • Review supervisory reports, trade and other blotters and notices (e.g., FinCEN, AML) on a daily basis
  • Review and approve all new accounts and all brokerage level service requests
  • Manage all vendor relationships regarding firm operational support
  • Plan, develop, and implement a long-term strategy for optimizing all aspects of the firm?s operational infrastructure and management within agreed-upon organizational plans, budgets and timeframes
  • Establish and maintain appropriate systems for measuring necessary aspects of operational management and development
  • Recruit, manage, train and motivate direct reporting staff/team according to company procedures, policy
  • Maintain administration and relevant operational reporting and planning systems, manage relevant reporting of management and financial information for the operations department
  • Liaise with other functional/departmental managers so as to understand all necessary aspects and needs of operational development and to ensure they are fully informed of operational objectives, purposes and achievements
  • Maintain awareness and knowledge of contemporary operational development theory and methods and provide suitable interpretation to team
  • Contribute to the evaluation and development of operational strategy and performance through continuous improvement
  • Ensure activities meet with and integrate with organizational requirements for quality management, legal and compliance stipulations
  • Commit to continuous education and professional development to remain current in industry issues, CRM and financial planning software, including report and analysis preparation
  • Foster an environment of open, honest and timely communications

Qualifications:

  • 5 years of operational experience in the financial services industry, preferably with a fee-based advisory, brokerage business or mutual fund company
  • Knowledge of advisory and brokerage regulatory structure
  • Knowledge of basic financial services operational functions, including trading, reconciliation, billing and performance reporting
  • Prior corporate managerial experiencepreferred
  • Exceptional oral and written communication skills
