The Billing Manager is responsible for overseeing the daily operations of the Billing department and staff.

Responsibilities/Duties

  • Oversee a team of Billing Coordinators, monitor daily billing operations, manage workflow and coordinate assignments to meet daily, weekly and monthly deadlines as well as short and long term goals and objectives of the department and Firm
  • Conduct weekly meeting with NY Billing Coordinators and weekly calls with assigned branch Billing Coordinator/s to review unbilled inventory, e-billing status reports and billing issues; provide timely follow-up, resolution and appropriate direction to
  • staff
  • Maintain active lines of communication within and between departments and with attorneys to resolve billing issues and provide effective feedback and problem resolution
  • Monitor unbilled inventory and review and approve bill reversals and write-offs under $5,000; ensure special billing arrangements are met
  • Assist with testing, implementation and documentation of system enhancements
  • Perform supervisory duties including interviewing, hiring, training, scheduling vacation requests, evaluating job performance and conducting yearly performance evaluations of assigned staff
  • Enforce guidelines set by Senior Management, implement changes and improvements, and make recommendations to billing methods and procedures as needed
  • Ensure effective administration and communication of departmental and Firm policies and procedures
  • Work on special assignments and analysis as needed; communicate with Partners and associates regarding projects
  • Perform other duties as assigned
  • Required Skills
  • 5 + years of billing experience in a large law firm and 3 + years of billing management experience supervising a team required
  • Ability to effectively present information verbally and in writing
  • Strong communication and presentation skills with the ability to present information in a variety of formats to team and higher levels of management in a confident and professional manner
  • Ability to use an accounting calculator
  • Proficiency in MS Office Suite, particularly in Excel
  • Strong overall technical aptitude and experience with legal billing related systems and software products such as Document Studio; high level of proficiency with 3E or Elite Enterprise
  • Strong attention to detail
  • Advanced analytical and problem solving skills with the ability to fully utilize tools to compile and analyze data
  • Ability to exercise good judgment and decision making
  • Ability to analyze complex problems and recommend and/or implement solutions
  • Can organize, prioritize, plan and multi-task work activities, with the ability to effectively meet deadlines in a high pressure environment with competing priorities
  • Flexibility to adapt to all work situations and work varied hours
  • Preferred Skills
  • Familiarity with E-billing Hub, Multi currency preferred
