We need our Assistants at this level to coordinate and administer a variety of activities enables the incumbent to relieve the manager of most day-to-day details. In this role you will provide and organize the administrative activities and support for Corporate Tax, Treasury, and Accounting. Functions may include, but are not limited to: tax, accounting, retirement plans, uploading reports, processing payments, and/or administrative support services. Our Assistants complete a variety of routine and non-routine tasks and projects in accordance with company policies and procedures, or as directed by immediate supervisor. Responsibilities:

  • May be the primary liaison between two or more groups, ensuring timely and accurate distribution of information and materials.
  • Relieves manager of administrative tasks. Understands priorities within the department and helps ensure that they are met. Establishes department guidelines and procedures; anticipates where problem areas may arise; evaluates alternative methods of accomplishing tasks and meeting goals; and initiates suitable action.
  • Establishes and maintains document archiving and retrieval systems, prioritizing the flow of project reports/correspondence and ensuring timeliness in the handling, processing, and resolution of requests, requirements, problems and tax returns.
  • Researches and compiles statistical information and related data, produces special or recurring reports, and completes special projects as assigned. Monitors the department budget as directed.
  • Prepares check requests and completes routine tax returns.
  • Keeps informed concerning company, unit, and project policies and procedures. May make recommendations for additions or revisions to existing policies. Serves as focal point for gathering newly-published policies and the dissemination of materials.
  • Establishes and maintains follow-up files and confidential files for immediate supervisor.
  • May represent the office by attendance at meetings with vendors, internal clients or others. Keeps manager informed of all pertinent action/pending action. Has some latitude for speaking for the manager at such meetings. May make informal presentations occasionally.
  • Initiates reports, as appropriate, for any or all functions. Gathers, organizes, and analyzes materials; produces and distributes data in graphic, spreadsheet, or narrative format. May develop computerized logs. Develops guidelines for standard reports from each function.
  • May administer the group's operating budget. Gives input for initial figures; investigates, resolves, and reports to the manager on all variances.
  • Serves as liaison between group to which assigned and others within the same division, as appropriate. Ensures clear communication regarding all administrative issues.
  • Support for Corporate Accounting that includes assistance with uploading, processing, and/or updating cash reports, Webtime statistical reports, payment tracking reports, payrollreports, and certain payments.
  • May supervise lower-level administrative support personnel, assigning work, reviewing completed assignments, and offering training and guidance. May provide input for, or complete, performance evaluations.
  • Interfaces with the ESOP Third Party Administrator to ensure timely payment of participant distributions.
  • Upon participant inquiry, researches potential outstanding payments and resolve claims.
  • Performs other responsibilitiesassociated with this position as may be appropriate.
  • May work closely with immediate supervisor in tracking timeliness of performance appraisals and preparing documents related to personnel actions.
  • May periodically prepare an occupancy report by project or gather information to complete staffing reports for the unit and/or several projects, as directed by immediate supervisor.

Qualifications:

  • 2-yeardegree in Business (or equivalent)
  • 8-10 years of experience in an administrative capacity, preferably in the assigned area of specialty).
