Experienced meeting planner to direct client facing and executive level meetings. The role should have previous experience in all aspects directing events including planning, operating and wrap-up. This person will play an integral role in ensuring the overall satisfaction of our clients' and internal teams' experience during events as well as the strategic outcomes.
Primary Responsibilities:
- Search and secure all venues and vendors for meeting space, transportation, off-site events, sleeping rooms and all other needs in conjunction with events
- Secure and negotiate all vendor contracts
- Own entire event and planning of Workforce Solutions customer events
- Plan the logistics for all Client Advisory Board events, both in person and phone meetings, 8-12 meetings a year
- Plan the logistics for multiple sales and account management kickoff and mid-year meetings, roughly 200-350 attendees each
- Direct select internal events that come at the request of the President
- Work with hotel or venue to prepare room set-up, food and beverage, audio-visual, generate and manage the rooming list and other hotel arrangements
- Prepare logistical and confirmation letters for clients, attendees, speakers and VIPs, and vendors
- Work with product management and marketing communications to develop agendas and displays
- Develop and build conference websites for logistical information and online registration
- Develop and build the event App for any client facing event where utilized
- Research and secure all keynote speakers
- Manage all communications for attendees pre and post meeting
- Create, duplicate, and assemble conference/review materials, including name badges, tent cards, signs, packets, and other materials
- Manage all details and work with all vendors during the operation of the meeting
- Double-check and process all vendor invoices, check requests and purchase orders
- Plan and execute all meetings within budget
- Manage and develop the Event Coordinator position
Qualifications:
- Bachelors degree required
- 10+ years in event management in planning and/or operations
- Must have previous experience in each area of event management - planning, operating and wrap-up
- Hotel and food & beverage industry experience a plus
- Detail-oriented is crucial
- Marketing communications knowledge required to be able to create emails, direct mails, ads, etc. for external client facing meetings
- Ability to work with vendors and negotiate contracts and pricing
- Ability to manage multiple fast moving projects at the same time
- Works independently, but is responsible for gaining group buy-in and feedback when necessary
- Talent to create/work with web and creative services teams on the theme, look and overall feel for each event
- Cvent experience a plus
