Civil Litigation Secretary – San Diego
The Civil Litigation Secretary will assist lawyers and other legal personnel by performing the following duties:
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Prepare legal documents such as answers, discovery and all forms of motions, and correspondence of a legal nature. Possess a working knowledge of e-filing and e-discovery procedures.
- Assist in preparing and tracking of subpoenas.
- Perform other duties such as scheduling appointments, calendaring deadlines, providing information to callers, composing routine correspondence, reading and routing incoming mail.
- Maintain computerized appointment calendar (CoreRelate) for attorneys and confirm scheduling of appointments, hearings, and mediations as required.
- Arrange depositions, court hearings and other meetings or conferences.
- Conduct basic factual/background research.
- Communicate case information to clients in person, by telephone and through electronic mail.
- Coordinate arrangements for services by legal service providers such as copy services, messengers, court reporters and audio/visual services.
- Operate standard office equipment to include photocopy machines, fax machines, printers, transcribers, etc.
- Coordinate with attorney(s), paralegal(s), and eDiscovery team on methods for document management, eDiscovery and litigation support for cases.
- Working knowledge of software, Lexis research tool, Microsoft Office Suite; Nuance.
- Attend legal secretary coordination meetings, back-up buddy meetings and staff meetings as requested.
Supervise performance of legal service vendors, service clerks and temporary word processing personnel as required. Responsibilities include directing work, addressing complaints and resolving problems.

EDUCATION AND/OR EXPERIENCE
Associates degree (A.A.) or equivalent from two-year College or technical school; or three to five years related experience and/or training; or equivalent combination of education and experience.
Knowledge of grammatical rules for the English language and strong spelling skills. Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to effectively present information and respond to questions from attorneys, clients, coworkers, and the general public.
Ability to add, subtracts, multiply, and divides in all units of measure using whole numbers, common fractions, and decimals.
Ability to cope with job stress. Ability to get along with clients and coworkers. Ability to effectively work with others as part of a coordinated team to accomplish job tasks. Ability to regularly appear for work on time. Ability to accept constructive criticism regarding how job performance may be refined or improved.

While performing the duties of this job, the employee is regularly required to sit; use hands; and talk and hear. The employee is regularly required to engage in repetitive motion of the hands and fingers to enter data into a computer. Strict deadlines and time constraints imposed by litigation work may require periods of increase efficiency resulting in increased stress.
The employee is typically assigned to an individual work space which is open to the main passageway of the office suite. All equipment and supplies required to perform assigned tasks will be provided by the employer. The noise level in the work environment is typically quiet.
