Job summary:

The Exhibitions Project Manager, Construction provides general supervision, coordination and technical support to Monterey Bay Aquarium Exhibition projects, and ensures that all assigned projects achieve their goals completely and efficiently, while adhering to project schedules, budgets, and quality standards. This position is responsible for all phases of project planning and project completion, with a specific emphasis on planning for, and implementation of, construction and site installation. In addition to directly managing projects, this position supports other staff who are managing projects by developing tools and processes for effective project management.

Core Responsibilities

  • Provides project management of assigned Exhibition Division projects in a professional and businesslike manner
  • Manages project teams including, designers, exhibit developers, experts, architects, contractors, consultants and vendors
  • Assumes responsibility for all construction and site work on major Exhibition division projects, with regular and clear communication regarding progress to supervisor and other staff
  • Supports and oversees work of other staff who are managing projects, including helping to set up and manage project budgets, schedules, and work plans
  • Evaluates project risk regularly and works to minimize risk
  • Builds collaborative and positive relationships with personnel from other Aquarium divisions, management staff, clients, contractors, and stakeholders
  • Develops and implements project action plans, schedules, budgets
  • Works closely with Monterey Bay Aquarium management staff to coordinate planning and project team activities with essential operations of all departments
  • Ensures the quality of contracted project work, that budgets and schedules are adhered to, and that contractors comply with the terms of their contract
  • Maintains appropriate logs, schedules and records of projects, including contract documents, change orders, construction change directives and authorizations, shop drawings, reports of meetings and conferences, requests for payments and other important documents
  • Ensures timely completion of documentation and submission required by the Aquarium or by government agencies in coordination with our design team
  • Catalogues and files project deliverables at end of project for future reference
  • Maintains safety standards on all site work for Exhibitions projects, including internal staff and contractors

Absolutely Required Skills / Knowledge / Ability / Experience or Education

  • Degree in architecture, design management, industrial design, project management, construction management or related field preferred; or equivalent experience
  • Minimum of 5-years' experience in project management, exhibition management, architecture, construction management, or related field
  • Experience leading multidisciplinary teams
  • Ability to identify and manage relationships with key internal and external stakeholders
  • Experience managing development of complex, public-facing experiences
  • Ability, with some training, to work with contractors and to learn to recognize and direct remediation of common construction hazards such as elevated work, confined spaces, hazardous chemicals, the hazardous release of stored energy
  • Competency in all Windows Office, including Word, Excel, Access, Project
  • Strong multi-tasking abilities to facilitate multiple complex projects with constant attention to detail
  • Capable working with heavy workloads, critical timing of installations and deadlines that require the ability to work quickly, use good judgement, problem solve and initiate action
  • Able and willing to work weekends, holidays, early morning, or after hours
  • Excellent oral and written communication skills

Desired Skills / Knowledge / Ability to learn / Experience or Education

  • PgMP® and/or PMP® preferred
  • Experience managing live-animal exhibition projects or museum experiences
  • Evaluates project requirements, assembles and manages project teams, develops and leads project delivery strategy
  • Develops project estimating processes and tools; trains project managers and division managers
  • Knowledge/experience with character, quality and cost of construction/fabrication materials and equipment
  • Manages the research and solicitation of proposals for contracted work as well as the preparation and negotiation of Exhibition project contracts - this includes developing scope, schedules, terms and conditions and fee basis, and contract negotiation
  • Knowledge of exhibition project concept design, schematic design, design development and construction/fabrication/production documents
  • Knowledge/experience with architectural and technical detailing, construction, fabrication and production technology and equipment
  • Demonstrated ability to lead, direct and coordinate work of a multidisciplinary project team
  • Demonstrated ability to plan, budget and manage assigned project during construction, fabrication and production
