Job Summary
The Administrative Assistant will provide a variety of administrative tasks supporting members of the Senior Leadership Team and the Administration department. The Administrative Assistant’s responsibilities include coordinating special events, preparing expense reports, and assisting with calendar management. The candidate should be well-organized and have excellent time management skills. Outstanding communication skills and keen attention to detail are also vital qualifications to the role. Additionally, due to sensitivity of information received, the ability to keep and handle confidential information is required.
You will
Expense and account reconciliation
Prepare and submit expense reports
Prepare and route check requests
Review/reconcile monthly expenses
Schedule management assistance
Assist the Executive Assistant to the CEO with calendar prioritization and scheduling (virtual and in-person)
Assist in arranging Senior Leadership Team events such as dinners, golf outings and team events
Communicate with the Senior Leadership Team to keep them well informed and on schedule
Coordinates and manages special events
Scheduling dates and sending invitations
Providing logistical support, ordering supplies and materials
Catering
Consistently plans ahead, manages time effectively, coordinates project information and materials for easy accessibility and delegates responsibilities when appropriate
Partner as needed to jointly manage initiatives, projects and meetings involving the Senior Leadership Team and Committee/Board-level activities
Works with or provides confidential and sensitive information and exercises discretion concerning its dissemination
General administrative and clerical tasks
Assist with the preparation and dissemination of executive communications, reviewing and editing correspondence, presentations and videos
Answer, screen, and route calls appropriately
Maintain and update company-wide organizational charts for Senior Leadership Team
Prepare reports, memos, letters, and transcribe notes
Maintain an organized filing system of paper and electronic documents
Monitor inventory and order office and meeting supplies
Receive deliveries; sort and distribute incoming mail
Prepare and coordinate documents for signatures as needed
Travel coordination/manage travel Itineraries
Arrange travel (airfare/lodging/transportation) including preparation of detailed itineraries
Coordinate travel and accommodations for visitor/guests
Maintain front desk scheduling calendar and provide coverage as needed
Special projects and duties as assigned

You have
Five years of administrative experience is required
Strong interpersonal skills; ability to work collaboratively and build cross-functional relationships with key members across the organization

Associates Degree preferred
