Position Summary
The Assistant Events Manager shall assist in managing all Events Department functions including tours, event logistics, and contract processing. They will be the primary contact for clients providing them with outstanding customer service throughout the event rental process and serve as MOD for the event. In addition, they will facilitate the needs of Kroc Ministries and Kroc internal programs. The Assistant Events Manager will maintain certification as ServSafe Manager and act as liaison to outside food service professionals.
Essential Functions
Serve as primary contact to room rental clients and facilitate the short form contract process.
Oversee all aspects of event rental logistics from initial tour to final billing.
Interface and communicate with clients, caterers, and Kroc staff.
Maintain the venue(s) and report all needed venue/equipment repairs to Kroc Facilities Department.
Purchase and/or rent supplies/equipment and process invoices per TSA protocol.
Manage linen inventory and serve as contact with linen vendor.
Generate Events Flash (schedule) and create Blue Sheet (setup diagrams) for Facilities team.
Work cooperatively with all Kroc program Directors, Managers, Supervisors, and other staff.
Serve as a member of the Kroc Management Team and attend Team meetings as required.
Meet the criteria to successfully maintain the standards of the ServSafe Food Protections Manager Certification program.
Manage all aspects of the USDA Summer Food Program from application to distribution, to reporting.
Monitor and administer food handlers card test to all staff /volunteers involved in food service duties.
Maintain safety standards and procedures for a safe work environment. Report harmful/safety issues.
Know, explain, and exemplify the mission, purpose, and values of the Kroc Center and The Salvation Army.
Follow and ensure adherence to The Salvation Army Policies and Procedures.
Must be in good physical health and mental health, capable of meeting the demands of the program.
Perform other assignments/duties as directed.
Working Conditions
Ability to walk, stand, bend, squat, climb, kneel and twist on an intermittent or sometimes continuous basis. Ability to be able to lift up to 10lbs. Ability to grasp, push, pull objects such as files, file cabinets drawers and reach overhead. Ability to operate computer and function well in center software.
Minimum Qualifications
Three to five years' experience working directly in hospitality and events.
Outstanding comprehensive knowledge of contract processing.
Willingness and understanding of working weekend and evening hours.
Excellent judgement and ability to maintain a positive attitude in a face-paced environment.
Must attend staff, Protecting the Mission, child safety, and other trainings/meetings as directed.
